Conference visa information for overseas delegates attending a medical conference in India

Overseas delegates who are attending a medical conference in India should apply for a Conference Visa. The process requires conference organisers in India to secure prior political and event clearances from the Ministry of External Affairs (MEA) and the Ministry of Home Affairs (MHA).We will get the clearances for you. Once you have the clearances and an invitation letter from us, you may apply from your own country for a conference visa to visit India.

1. Please provide us with a scanned copy of the demographic data page of your passport, along with a duly filled MS word form which we have attached. These need to be submitted by the organisers to obtain necessary government clearances.Kindly also provide a short one-page CVin the attached format, as the Govt. of India sometimes asks for one.

2. Once we receive the above documentation from you, we will apply for the official clearanceson your behalf, from the Ministry of External Affairs (MEA) and the Ministry of Home Affairs (MHA). The turnaround time is usually around three to four weeks.

3. We will issue individual official conference Invitation letters to all attending overseas delegates. We will also send you the clearance lettersas soon as we receive them.

4. Once you have the clearance letters and the invitation letter, you may then apply for a conference visa by contacting the nearest Indian consulate. You may check the Indian Visa portal to see if you are eligible for an e-conference visa in your country.

5. Usual required documents for Conference Visa Application: (you are requested to check with the Indian Visa office in your country):

Scanned bio-data page of your passport (minimum 6 months validity and 2 blank pages).
Recent passport-size photograph on a white background.
Official invitation letter from the Indian organisers.
Copies of the MEA and MHA clearance letters provided by the organisers.
Proof of residential address.

6. Delegates can pay the appropriate fee and submit their application with supporting documents to obtain a conference visa.
